3. Step 1 - Request Docs


Find volunteers who require a DBS
To find who requires a DBS check you need to login to Pitchero and select Membership -> Membership Database.

Click on the Fields button, and select RFU No. & DBS Expiry




  • Click on the Filters button (just to the left of the Fields button above)
  • Add a filter by clicking on the Select Filter Type dropdown and selecting DBS Required?
  • Under DBS Required? click on the All dropdown and select Yes
  • Under Records per page click on the dropdown and select All
  • Finally click the green Filter button.

This will now show you only club members that are marked as requiring a DBS check.

  • In the resulting grid click on the header DBS Expiry to sort by that column.
  • Unfortunately the sort doesn't sort dates correctly, but it will separate any blanks
  • Note the individual names of anyone whose DBS expiry has been reached or is due this season
  • These and anyone with a blank DBS expiry are the people you will need to send a comms to requesting that they bring in identification



Use Pitchero to communicate with people who require a DBS
Now a comms will need to be sent out to that list of people who require a DBS. The standard text for this can be copied and pasted from below, adjusting as required.


Subject: DBS required.
Hi

You are receiving this because you are volunteering for the junior club as a Team Manager or Coach and need to complete a DBS check (or your existing DBS is expired or expiring).

At the AGM it was agreed that everyone in these roles will need a current DBS cert from the club issued by the RFU (See answers to Q3 & Q4 in FAQ - https://www.hampsteadrugbyclub.co.uk/a/dbs-faq-53914.html)

Any questions should be answered on the website in our DBS FAQ (https://www.hampsteadrugbyclub.co.uk/a/dbs-faq-53914.html) which I recommend you read.

If you want to start the ball rolling you can read answers to Q6, Q7 & Q12 which will get you over the first step of an ID check with Miriam on a Saturday morning. This step only takes a couple of minutes.

To send the communication using Pitchero:

  1. Select Communication -> Compose.
  2. Click on the grey Select Members button
  3. First need to select the batch of people who require a DBS with a blank DBS expiry date
  4. On right-hand-side click on the dropdown labelled 'Select Filter Type' and select 'DBS Required?'
  5. On the resulting dropdown labelled 'All' select 'Yes'
  6. On the dropdown labelled 'Select Filter Type' and select 'DBS Expiry Date'
  7. On the resulting dropdown labelled 'Contains' select 'Empty'
  8. On the left-side select the check box next to the First Name label, this will select all people who require a DBS with a blank DBS expiry date, and list them on the right hand side.
  9. Now we need to add the individuals previously listed who's DBS has expired or is due to expire
  10. Click on the 'Filters' button, click on each remove button to remove the previous filters
  11. In the Search Members box in the top left, enter the first few letters of the surname of the people you had noted from the membership database who require a DBS, one by one
  12. When the person you require is shown, click the checkbox to the left
  13. Repeat the search and select steps until you have added all the required individuals to the list.
  14. Once you've got all the names you need under Selected Members, click the green Done button
  15. Now copy and paste the Subject and Message from the text above, adjust as required
  16. Click the Replies Enabled radio button, so that people can respond to your message if necessary
  17. [*}Then click the green Send Message button
