6. Step 4 - DBS system


Having come from the RFU GMS system, you will now need to login to the DBS system for the RFU with the account details given to you by the RFU safeguarding team.

  1. Once logged in you will come to a 'Confirmation of Disclosure Requests' page, with the name of the person you are applying for a DBS for. On the right hand side it should state No Errors Found.
  2. Click on the green Proceed button
  3. On the resulting success page, click on the word here to apply for the DBS
  4. On the next page click on the applicant's name
  5. Click on Choose your preferred option to begin the application
  6. Click on Complete an application here and now
  7. Read the reminder text and click the green Proceed button
  8. Now enter the applicant's details as required
  9. If there is a middle name on official documents it needs to be entered. It also needs to be on all official documents e.g. passport, driving licence etc. It does not necessarily need to be on paper documents such as bills or statements
  10. Under Job Role there are generally 2 valid selections, pick the most valid one.

  11. Coach - Children OR Team Mgr Child (Sport Health)
  12. If neither of these roles applies, then select the one that you think is most suitable. Most people for the club will be applying under one of these roles above however.
  13. Answer the questions
  14. Is the applicant a Volunteer - Yes
  15. Does the position involve working with children or adults at the applicant's home address - No
  16. In the resulting pop-up page will be 4 questions. Answer all 4 questions with a No and click the green Submit button
  17. Now start the process of entering the identity documentation
  18. Select the nationality of the applicant, either UK, EEA or Other
  19. If Other, then select UNPAID
  20. Click the green Proceed button
  21. On the next page, select the primary identity documents provided (there will be more options as you proceed). You have to answer Yes or No to each question, so answer Yes if you have a picture of the document requested, and no if you don't
  22. Now you can select any Trusted Government Documents. Again have to answer all questions either Yes or No. Once you have answered all these questions appropriately, then click not he green Proceed
  23. On the next page are the final set of documents that can be selected, Financial and Social History Documents. You only need to check any documents that you have on this page, or if you have no further documents (i.e. you selected 3 valid documents on the previous 2 pages) then you can click on the yellow No further ID available button.
  24. Once you've selected enough documents, the system should present an alert saying enough documents have been selected to proceed. Click the red OK, then click the green Proceed.
  25. Check name information, and enter address details requested.
  26. Now enter the documentation details requested, exactly as provided by the documents. Some documents (such as the biometric residence permit) will require pictures of both the front and the back for the information necessary. Click the green Proceed button.
  27. Check the information on the next page is correct, select the I Confirm the Following checkbox, and click the green Proceed button.
  28. On the next page click the green Later button
  29. On the next page click the green Send Remote Email button.

Application has now been entered, and it's up to the applicant to login to the system and complete the process. You just need to do some housekeeping explained in the next couple of steps.
