What information do we need about players and parents

AND how do I get parents to update that information?

There is certain information that the club needs about parents and their children to operate. Below is the minimum information that we need, with an explanation where necessary for the data. Note, we only need this information while people are members of the club and adhere to the club's privacy & data usage policy by deleting data that is no longer needed.

It's very easy to prompt for membership information to be updated using Pitchero. Where is says 'Add a Note (Optional)' add the specific information that you would like updated as per below. If you follow this procedure for a child that is linked to their parents, then the parent should be notified of the information request.

Parents Data
Full Name
Email Address - should allow reception of emails from the club, no need to be visible
Telephone Number - needs to be visible in case of emergency with their child
Address - required for RFU Game Management System registration, insurance
Code of Conduct Agreement - should be marked yes. If marked no, then need to have a chat as to why
Junior Help Agreement - this is how we identify parents who may be willing to help out with the club
Media Consent Agreement - mostly for their children, but may also publish pictures with parents included so should be a yes. If marked no then need to have a chat with the parent.

Players data (children)
Full Name
Date of Birth - required to ensure they are in the right squad. See article on age criteria.
Address - required for RFU Game Management System registration, insurance
I.C.E. - In Case of Emergency contact number. If this is not completed then we will attempt to use the number given for one of the parents, but it would be quicker if this is filled out.
Medical Information - If left blank then the club assumes there is nothing relevant. This is used in case of emergency to inform emergency services or hospital should a parent or guardian not be present.
Code of Conduct Agreement - each player needs to understand and agree to the code of conduct. Parent's should explain this to children if necessary
Media Consent Agreement - if this is not selected then TM needs to assume that the child cannot be included in team photos or videos that may be posted to the website. Note all Juniors media posted to the website should only be viewable by Club members.
Parent's Names - this make it easier for the treasurer to ensure data is setup correctly
